Privacy Policy

We take your privacy seriously around here - let's walk through how we handle your information

Last Updated: January 2024

Look, we get it - privacy policies can be pretty dry reading. We've tried to make this one straightforward so you actually know what's happening with your info when you book with us or visit our property.

1

Who We Are

Crystal Quintaris Hotel is a luxury boutique resort operating out of Vancouver, BC. We're located at 1485 Waterfront Drive, Vancouver, BC V6G 3E2, Canada. When we talk about "we," "us," or "our" in this policy, we're referring to our hotel and the folks who work here to make your stay memorable.

What Information We Collect

When you book a room, hit up our spa, or dine at our restaurant, we're gonna need some details from you. Here's what we typically collect:

  • Personal Details: Your name, email address, phone number, and mailing address. Pretty standard stuff for any reservation.
  • Payment Info: Credit card details and billing information - but don't worry, this gets encrypted through secure payment processors.
  • Stay Preferences: Room preferences, dietary restrictions, spa treatment choices, special requests. Basically anything that helps us personalize your experience.
  • ID Documents: Sometimes we need a copy of your ID or passport, especially for check-in purposes.
  • Communication Records: Emails, chat messages, phone conversations - we keep these so we can reference what we talked about.
  • Website Activity: When you browse our site, we collect info through cookies about which pages you visit and how you use the site.

Quick Note About Kids

We don't knowingly collect information from anyone under 13. If you're a parent and think we might have info about your child, reach out to us and we'll delete it right away.

How We Use Your Information

We're not in the business of collecting data just for kicks. Here's what we actually do with it:

Reservations & Service

Process your bookings, manage your stay, arrange spa appointments, handle room service orders - the day-to-day stuff that makes the hotel run smoothly.

Communication

Send you booking confirmations, updates about your reservation, respond to your questions, and occasionally share news about special offers if you've opted in.

Personalization

Remember your preferences for future visits, suggest services you might enjoy, make sure we've got your favorite room ready when you come back.

Improvement

Analyze how guests use our facilities and website so we can make things better. If something's not working right, we wanna know about it.

Who We Share Your Data With

We're pretty protective of your information, but sometimes we need to share it with others to make everything work:

  • Service Providers: Payment processors, booking platforms, email services - the behind-the-scenes tech that keeps us running. They only get what they need to do their job.
  • Tour & Activity Partners: If you book excursions or activities through our concierge, we'll share relevant info with those providers.
  • Legal Requirements: If the law requires it or we need to protect someone's safety, we might have to disclose information to authorities.
  • Business Transfers: In the unlikely event we sell or merge the hotel, your data would transfer to the new owners (but this policy would still apply).

We don't sell your personal information to third parties. Period. That's not how we do business.

5. How We Protect Your Information

Security isn't just a checkbox for us - it's something we take really seriously. We use industry-standard encryption for all data transmission, secure servers with regular backups, and strict access controls so only authorized staff can view your information.

That said, no system is 100% foolproof. We do our best to protect your data, but we can't guarantee absolute security. If we ever experience a data breach that affects you, we'll let you know promptly and work to fix the issue.

6

Cookies & Tracking

Our website uses cookies - those little files that websites store on your device. Here's the breakdown:

Cookie Type What It Does Can You Opt Out?
Essential Cookies Make the website actually function - login sessions, booking cart, that kind of thing Nope, these are necessary
Analytics Cookies Help us understand how people use our site so we can improve it Yep, through your browser settings
Marketing Cookies Show you relevant ads and track campaign effectiveness Yes, you can disable these

Most browsers let you control cookies through their settings. Just keep in mind that blocking certain cookies might make parts of our website not work properly.

7

Your Rights & Choices

Your data belongs to you. Here's what you can do with it:

Request a copy of what personal information we have about you. We'll provide it in a readable format within a reasonable timeframe.

If something we have on file is wrong, let us know and we'll fix it. You can update most stuff through your booking profile or by contacting us directly.

Ask us to delete your personal information. We'll do it unless we're legally required to keep it (like for tax records or active reservations).

Don't want promotional emails? No problem. Click the unsubscribe link in any marketing email or contact us to opt out. You'll still get important stuff like booking confirmations though.

Object to how we're using your data in certain situations. We'll stop unless we have a compelling reason to continue.
8

How Long We Keep Your Data

We don't hang onto your information forever. Here's generally how long we keep different types of data:

  • Booking & Payment Records: 7 years (Canadian tax law requires this)
  • Marketing Preferences: Until you tell us to stop or you've been inactive for 3 years
  • Account Information: As long as your account is active, plus 2 years after your last stay
  • Website Analytics: Typically 2 years, then it gets anonymized

Once we don't need your data anymore, we'll either delete it or anonymize it so it can't be traced back to you.

9. International Transfers

We're based in Canada, but some of our service providers might be in other countries. When your data crosses borders, we make sure there are proper safeguards in place - like standard contractual clauses or adequacy decisions. Your information gets the same level of protection no matter where it's processed.

10

Changes to This Policy

Things change, and sometimes we'll need to update this privacy policy. When we do, we'll post the revised version here with a new "Last Updated" date at the top. If there are major changes that affect how we handle your data, we'll send you an email heads-up if we have your email address.

We recommend checking back here occasionally, especially if you haven't visited in a while.
